Workspace settings

A workspace's Settings page, tab by tab — its name and visibility, who is in it and with what access, the sidebar, rooms and the archive, linked products, and deleting it.

Every workspace has its own Settings, the last item in the Workspace group of its sidebar (or G then S from anywhere in the workspace). It is where a workspace's owner and admins run it; an organization owner or admin can do the same in every workspace of the organization.

The page has eight tabs.

General

  • Workspace Name and Description.
  • Who can see this workspace?Everyone in the organization, or Certain people. Switching to Certain people asks who, and adds the people you pick as members.
  • Save Changes.
  • Save this workspace as a template — exports the workspace's rooms under a name you choose, so the workspace can be recreated in one click from the template gallery in the create dialog. See Create your workspace.

Community

Who is in the workspace, and with what access.

  • Add Member — an email address and an access level:
    • Full access — create and edit, manage members.
    • Read only — view, can't edit.
    • Guest — one room only. Pick the room; a guest sees nothing else.
  • Bulk Invite — upload a CSV with the columns Email (required), Role (admin, member or viewer) and Name (optional). The dialog shows who will be invited, which rows were skipped and which invitations failed.
  • Add everyone from the organization — adds every registered member of the organization who is not in the workspace yet. People already in it are skipped; the toast says how many were added.

The member table shows each person's name, when they were added and their access. Change it from the row, Remove someone, or — for a guest — Manage rooms to add and remove the rooms they can see.

Pending Members lists invitations to addresses that have not registered yet. Their access can be changed before they arrive.

A Roles & permissions card underneath sets out what each role can do in this workspace. The same table, and what the organization's own roles mean, is in Roles and permissions.

Who is in the organization is not decided here — that is at your Bookbag account. See Members & access.

People

The workspace's people directory — the same view as People in the sidebar. See People directory.

Reorder the sidebar's sections and the rooms inside them, rename sections, add or delete a section, and move rooms between sections. Changes are staged and apply when you press Save; Discard throws them away. A room moved into a section goes to the bottom of it, so a section's existing order is never reshuffled.

Rooms

Every room in the workspace, with its type, when it was created and by whom, and a Search rooms… box. New room creates one. From a room's menu:

  • View opens it.
  • Edit changes its name and Who can see this room?
  • Archive moves it to the archive, below.

Archive

Archived rooms, with a Search archived rooms… box. From each one's menu: Open, Restore (it goes back into the workspace), or Delete forever, which removes the room and everything inside it — posts, boards, messages, files — and cannot be undone.

Linked products

The workspace's links to its counterparts in CodeBook and MadeBook, with the health of each, and Link CodeBook / Link MadeBook. A CodeBook link also has Epics sent to CodeBook — plans to approve, which opens the workspace's Epics page (/space/<id>/epics). There you send an epic to the factory, review the plan CodeBook's planner proposes, approve the stories you want, follow where it stands, and send it again after a change. See Linked products & the factory lifecycle, and Epics in particular.

Danger Zone

Delete Workspace. You are asked to type the workspace's name to confirm. Only the workspace's owner can delete it; for anyone else the button is disabled and the card says so.
