An event room is one place for everything on your team's calendar: offsites, all-hands, launch parties, lunch-and-learns, training sessions. Instead of invites scattered across inboxes, events live in a room the whole team can browse — with one-click RSVPs so organizers know their numbers, and a discussion thread per event so logistics questions stay attached to the event they're about.
Create an event room
Click + in your space's sidebar and choose the event room type. Set its visibility as you create it — the whole space, or certain people. One event room per team is usually enough; it's a hub, not a single event.
Publish an event
Add an event and it appears in the room for everyone with access — no invite list to maintain, no one accidentally left off the thread. People who can see the room can see the event, RSVP, and join the discussion. Openbook's in-app and email notifications keep people up to date on the events they care about, so nobody has to keep refreshing the room.
Collect RSVPs
RSVPs are one click: going or interested. Organizers see who responded and can plan headcount early — and "interested" turns out to be most of the signal you need. Use it to gauge demand for a lunch-and-learn before booking the big room, or to size catering for the offsite before chasing anyone.
Keep discussion attached
Every event carries its own discussion thread. Parking, dietary requirements, agenda requests, follow-ups — it all lives on the event, searchable later, instead of interrupting a work channel and scrolling away. When someone asks the where-do-we-park question in week three, the answer is already on the thread.
Browse upcoming, past, and calendar
The room has three views:
- Upcoming — what's next, cleanly separated from history.
- Past — a record of what already happened. It doubles as a history of team life: new hires can browse past events to see what the team gets up to.
- Calendar — the month laid out at a glance, so seeing the plan is one look instead of a scroll through invites.
Tips
- Publish recurring series (all-hands, lunch-and-learns) in the room rather than only as calendar invites — the room is where people look for what's on.
- Post logistics updates to the event's thread instead of a chat channel; attendees find them without asking.
- Check "interested" counts before committing budget — it's a free demand survey.
- Don't prune past events. The archive is cheap and genuinely useful for onboarding.
