Openbook

Your Pro trial

What the 14-day Pro trial includes, what happens when it ends, and what the Free plan limits are.

Every new organization starts a 14-day Pro trial automatically. There's nothing to activate and no credit card to enter — from the moment the organization is created, you have full Pro features.

What the trial includes

Everything in Pro, for 14 days: all 21 room types, unlimited spaces, and no cap on members. The trial exists so you can evaluate Openbook with your real team and real work, not a restricted demo.

The trial is per organization, not per account. If you belong to several organizations, each has its own plan and its own trial clock.

Keeping track of time

  • A "Pro trial · N days left" pill shows in the sidebar, so you always know where you stand without going looking.
  • Billing details live at Organization → Settings → Billing — that's where you can see your plan and upgrade.
  • About two days before the trial ends, the organization owner gets an email reminder. Billing is the owner's, so that's who hears about it.

The timeline

Day What happens
Day 0 Organization created; Pro trial starts automatically
Days 1–13 Full Pro features; the sidebar pill counts down
Day 12 The owner receives a reminder email (two days left)
Day 14 The trial ends; the organization moves to the Free plan

What the Free plan limits are

If you don't upgrade, the organization moves to the Free plan, which limits:

  • Members: up to 10 organization members whose role is anything other than viewer. Viewers and guests are always free and don't count toward this.
  • Spaces: up to 3.
  • AI: not limited by the plan at all. The assistant, the build agent, workflows and the concierge work the same on Free as on Pro. What bounds AI the platform pays for is a token allowance on the owner's Bookbag account, the same on every plan — see AI usage & the token allowance.
  • History: chat and feed history shows the last 30 days.
  • Room types: dashboard and proofing rooms can't be newly created. Existing ones remain.

Nothing is deleted

This is the important part: when the trial ends, nothing is deleted. Not your spaces beyond the third, not chat history older than 30 days, not your dashboards. Data over the Free plan's limits becomes inaccessible, not gone — and everything comes back the moment you upgrade.

You don't need to export anything or race the clock before day 14. Letting the trial lapse while you decide is safe.

Practically, that means on the Free plan you may find some spaces or history out of reach until you either trim down within the limits or move to Pro.

How to upgrade

Go to Organization → Settings → Billing and upgrade to Pro. Pro is $15 per user per month, or $12 per user per month billed annually. Because viewers and guests are never billable, you pay only for members with edit access.

You can upgrade at any point — during the trial to remove the countdown, or after it ends to restore full access to everything the Free plan had tucked away.

For the full walkthrough of trial mechanics and upgrading, see Billing → Trials and upgrades.

Making the most of your 14 days

  1. Get your team in during week one. Pending invites attach automatically at signup (Invite your team), so send them all early.
  2. Try the rooms the Free plan restricts — create a dashboard and a proofing room and see whether your team uses them.
  3. Try the concierge. It builds spaces, rooms, boards and stories for you from a description, and it works the same on Free — AI is not one of the things the plan limits.
  4. Let the owner watch the pill. When the day-12 email arrives, you'll already know whether Openbook stuck.
